In the era of computing, why not eliminate almost all the clutter of paper and store it electronically to establish an electronic file system (EFS)
In order to store paper documents on your computer, this is very easy to do and requires minimal equipment and software.
Because paper can be destroyed through floods, fires and other disasters, storing important files electronically is a great way to ensure that they will never be lost.
Yes, you can buy a safe box to store files safely, but over the years, you will accumulate a lot of files and need a bigger and bigger safe box, which can be very expensive.
All the devices you need to start up are scanners, encryption software, and some type of backup drive.
The scanner I used personally is brother's MFC-
8890DW, now replaced by brother mfc8910.
Brother printer MFC8910DW wireless monochrome printer with scanner, copier and FaxAmazon Price: $449.

The scanner comes with all the software needed to scan a document and store it as a PDF, has an automatic feed that scans multiple pages, can be scanned on both sides, the scanning tray is large enough to scan a legally sized file.
I'm not going to go into any other details of this particular scanner in detail, but the feature I mentioned is something I personally think will handle almost all documents.
One feature I don't use very often is to scan documents of legitimate size, so if the cost is an issue, you can get a scanner that doesn't have this feature and still scan most of the stuff.
All you need to do is find a way to scan your legitimate size files.
However, be sure to try to get a scanner for the automatic feed and double-sided scan standard 8. 5" x 11" paper.
This will save you a lot of time!
The next important project you need for encryption software is encryption software.
This is not required, but I strongly urge you to use encryption as many of the files you will be scanning will include important personal information and if stolen will result in the identification being stolen.
The encryption software I use is TrueCrypt, which is not officially supported so far, but you can still find a copy of the software on the Internet.
However, other software such as BitLocker can also be used and works fine.
The last item you need to back up is another or two storage devices in which you can back up your electronic file system.
And/or you can store your file system online, but make sure it's encrypted!
Again, this is not required, but the idea of this electronic file system is to make sure that you will always have your files even if your computer is stolen or your hard drive crashes.
Organize the file system in order to save all documents in one place, create a relatively large encrypted folder and name it "electronic file system ". 7.
There will be plenty of room for 5 gb to get started, and it is perfect for 8 gb thumb drives.
I have been saving the electronic file system for more than five years and only used about 1 gb.
This should let you know the size of an encrypted folder you need to create.
You can organize your electronic file system in any way you like, but the most important thing is to make sure you can find your documents when you need them.
Do not use the default name, scan123.
Pdf or any non-descriptive content, myfile1. pdf.
I like to use a loose file organization folder scheme where I can easily find all the files I need without spending too much time tagging files or having too many sub-folders.
I like to have separate folders for "year" and sub folders for "work", "medical", "main purchase", "car", "House", "tax, and "Misc"
In the "medical" folder, I will create a subfolder for myself and each family member.
After scanning in the document, use EFSAfter to rename the PDF file to "Dentist Act April ".
Pdf "and put it in the appropriate folder.
In this case, the file will be placed in the medical folder in my name.
This is enough information where I can find documents relatively easily without having to search for each file in the EFS.
To keep up with the paperwork, make sure the documents are scanned as soon as they arrive.
After scanning in a document or a series of documents for one day, make sure to back up the EFS immediately.
Be sure to keep important documents such as birth certificate and license plate number.
These should be stored in a safe place, such as a safe or high safety and fire-proof safe.
On the other hand, to avoid the clutter of paper, I would suggest destroying all other files.
These are just suggestions, so make sure you don't actually need a paper version before disposing.
Another point to keep in mind is that depending on the backup software you use, sometimes encrypted files are treated as constant, so you have to copy or write scripts manually in order to back up your EFS.
